Tavleen & Harry’s Wedding: When Dreamers and Doers Work Together

When we were first approached by Sacha, a wedding and event planner who specializes in immersive experiences, about partnering with her to make Tavleen and Harry’s wedding dreams a reality, we couldn’t say yes fast enough!

When it comes to the experiences Sacha designs, she’s a true dreamer. She brings big ideas for creative implementations and unique experiences to the table every time she crafts an event vision. Her goal is always the same: to create an unforgettable, incredible event. On the most important day of somebody’s life, in particular, she doesn’t hold back.

In many ways, Sacha shares the same philosophy as our team. We are committed to doing whatever it takes to make an incredible experience happen. And when we paired up for Tavleen and Harry’s wedding, the result was a spectacular, unforgettable evening.

Enhancing the Event Space.

Some people look at an empty ballroom and wish that there was more. More design elements, color, aesthetic choices, and overall vibe. For others, an empty ballroom is a blank canvas with endless possibilities.

That’s how Sacha approached Tavleen and Harry’s wedding. When she saw the event space, she saw an opportunity to turn the large room into three distinct but cohesive areas, each with a different purpose, look, and feel.

The primary reception area

When guests first entered the primary reception space, they were greeted by two draped columns with projection-mapped images of Harry & Tavleen.

The main focal point in the space, however, was a stage with a bright velvet couch and projection screens on either side of it. Beautiful draping surrounded the entire area, turning it into one cohesive display. Intentional lighting design was used on a hanging sign with Tavleen and Harry’s names, projecting the shadow onto the draping, adding visual depth to the stage.

In addition to the stage and artistic room lighting, rotating gobos and moving lights were used to project a beautiful pattern onto the floor between the tables, creating a unique and immersive atmosphere while guests socialized and enjoyed their dinners.

The speakeasy

In the back of the ballroom, guests could step away from the main event to enjoy a speakeasy-style bar.

The intimate space. which featured lounge lighting, comfortable seating, and artwork, allowed guests to relax in a completely separate area and grab a drink.

Also featured in the speakeasy was a photobooth, a late-night ramen station, and a soda bar.

The after-party

When the last dinner plates had been cleared, it was time for one of the most exciting parts of the evening – dinner and dancing! Guests turned their attention to the second stage, where a DJ was ready to take the night away.

Complete with mood lighting that shifted with the songs, a large dance floor, and great sound, the after-party had a completely different atmosphere than the speakeasy or primary reception area, despite all three areas technically taking place in the same ballroom.

Providing High-Level AV Support.

In many ways, Tavleen and Harry’s wedding utilized many of the technical aspects of a large-scale live event. From the main space to the two ancillary areas, here’s the technical support we provided:

Audio support

In order to support the audio needs of the event and fill the ballroom with consistent, even sound, we utilized:

A mixing console and audio snake
10-line array elements with crank stands
6 SRX line array elements
4 subwoofers
5 wireless microphones
2 podium microphones

The DJ booth in the after-party space used an additional 4 line array speakers, 2 additional subwoofers, and 5 box truss, some of which were mounted, and others, which were used in columns.

Visual support

Our team provided two projector screens and projectors for the primary reception area, to go on either side of the stage. We also provided two projectors in order to projection map videos of Harry & Tavleen onto the drapes, so guests could see the images as they entered the space.

Video & camera support

Because there were so many visual elements, we utilized many of the same systems that we’d use for a corporate event with multiple screens, video cues, and other visuals. This included:

1 video switcher
1 Blackmagic box
1 video matrix
2 laptops

In order to record the event and share a live feed on the screens, we also utilized:

1 camera controller
1 broadcast camera
2 PTZ cameras

Lighting support

We needed to light three different areas for the wedding, each with a distinct look and feel. The first, the primary reception space, needed both stage lighting and atmospheric room lighting. Lighting in the speakeasy, on the other hand, was used to create a relaxed and bespoke environment. To achieve these two looks, we used:

Our GrandMA3 console
9 moving head lights
24 QuikSpots
12 lekos
4 hazers
36 wash lights, used across the two ancillary rooms.

Meanwhile, the lighting on the DJ stage and dance floor created a high-energy, exciting party atmosphere. The lighting look for the after party used an additional 8 Chauvet Rogue moving head lights

Rigging and power

Between the lighting, audio, and visual requirements, we had a lot of equipment that needed to be rigged! We used:

8 box truss sections
4 chain motors with a power distributor
1 comprehensive rigging kit
2 crank stands

Planning for Ideal Outcomes.

If all of this sounds like a big lift, that’s because it was! And the final result was only possible with vendor partners who were able to work closely together to bring Sacha’s vision to life and create an incredible experience for Tavleen and Harry.

Between the carpenters who would need to access the space to build full sets that separated the different event areas and the extensive AV support, which could only take place in certain areas once the builds were complete, Sacha knew this set-up would take time.

Because of this, she arranged for day prior setup, making sure all of the vendors were given the time and tools they needed to be successful. The extra day meant that all of the vendors were able to enter the space, build sets, light the sets, spend plenty of time deploying audio, lighting, and rigging equipment, and fine-tune each aspect without being rushed.

We also were able to do a full tech run through, making sure that each cue was well planned and executed. This ensured that everyone involved was comfortable with what needed to happen at any given point in time.

The result wasn’t just the stunning wedding evident in the pictures. It was a wedding day that didn’t feel hectic, rushed, or chaotic for the vendors working it, or the happy couple.
