Event Resolutions to Make in 2025

It’s officially 2025, which means that it’s the perfect time to reflect on 2024, think about what you want to achieve in the coming year, and make your resolutions. 

If up-leveling your live events is your resolution, you’re not alone – and if you don’t know where to start, AVentPro is here to help! As you begin planning your 2025 events, we’ve come up with a few resolutions that will ensure your attendees have a great experience, your messaging is clear, and your goals are achieved.

Make Defining Event Goals a Priority.

Teams often start planning their events before they’ve thought about what they hope to accomplish, but we believe that defining your event goals is crucial to creating an event vision that will help you achieve them.

Perhaps your organization is hoping to educate attendees about a new process or system, or inform those in attendance about a leadership change. Alternatively, you may be hoping to inspire attendees, raise money for a worthy cause, or simply celebrate a successful year. When you know what you’re hoping to accomplish, you, and your event partner, can create an impactful meeting that is intentionally designed with your goals in mind.

Organizations that want to help the audience and leadership teams connect may want to prioritize Q&A sessions or panel discussions, while teams that are more focused on fostering relationships between attendees will be more interested in creating opportunities for networking. Groups that are trying to reach wider audiences may want to consider virtual components, while events that aim to inspire should consider keynote speakers.

To make the most out of your live event, we recommend outlining and defining your goals early and allowing them to influence how you approach the creative design process.

Consult an Event Partner Early in the Process.

Now that you know what your event goals are, it’s time to make sure the event is designed in a way that will help you achieve them. Luckily, that’s what your event production partner is for! 

When you engage an event production partner as early as possible, you can take advantage of their creativity, technical expertise, production process, and knowledge. From sharing the limitations or unique opportunities of a specific venue to ensuring high-demand gear is allocated and event staff is chosen strategically, the earlier you bring your production partner into the conversation, the more guidance they can give.

Invest in More Breakout Sessions.

If your event goals include sharing specific, targeted information with smaller groups of people, helping attendees complete hands-on training, or facilitating roundtable discussions, investing more in your breakout sessions should be one of your top event resolutions.

Encourage breakout organizers to think about what their goals are and what will help them to achieve them. Is there any specialty equipment that is needed for a training session? Will the speaker need to interact with their presentation materials in a unique way? Do attendees need to work together, and if so, how can the room be set up to encourage that? By prompting the breakout organizers to think about what they need and offering a wider variety of formats and set-ups, these small group sessions will be more impactful for attendees.

It’s also beneficial to invest in additional technicians. When one floating technician is responsible for managing every breakout room, they’re limited in how much support they can give, and how quickly they’re able to assist. With dedicated breakout technicians, a more customizable experience is possible and individual presenters will get more hands-on support.

Prioritize Accessibility.

Over the past several years, we’ve seen an increased ask for events to be more accessible in a variety of ways.

In a country with two official languages, it’s incredibly common for attendees to speak a different language than the event’s presenters, making it more difficult, or in some cases, impossible, to understand the presentation. Providing interpretation services makes the event more inclusive and accessible for all attendees, regardless of what their native language is.

For attendees concerned about venue accessibility, providing information about the venue, such as the locations of accessible entryways, elevators, or parking, will allow attendees to plan accordingly and feel more confident leading up to the event.

It is also possible that some attendees or speakers may be interested in an event, but be unable to travel or be present in person. Adding an option to attend the event virtually is a great way to ensure everybody who wants to attend the event is able to, while adding in a hybrid option allows remote audiences to interact with their peers and get as much out of the event as possible.
